Administrative Assistant

Position: Full-time

Support daily operations, academic administration for all the programmes offered by the institute including IMMERSE

Key Responsibilities

  • Provide high‑level administrative support to the Programme Manager, faculty and Co-creators of IMMERSE, including managing everyday calendar, coordinating for all the courses and programmes, travel and logistics.
  • Coordinate admission related details, enrolment, and record‑keeping for the MA as well as short‑term courses, including maintaining attendance, organising course‑related materials as well as submissions, updating course roster and logistical setup.
  • Organise fellowship applications, details of the fellows, maintaining databases of current fellows as well as alumni and managing regular correspondence with them.
  • Update websites with details of the programmes, artist and curatorial fellows, publish announcements, rules and other necessary information.
  • Work closely with the IT team, manage correspondence, prepare and proofread reports, emails and public‑facing documents, ensuring tone and accuracy are consistent with the college’s academic standards.
  • Assist in venue booking, invitations, and follow‑up for events such as lectures, seminars, workshops, and public programmes.
  • Handle financial and procurement tasks such as processing invoices, travel reimbursements, and coordinating with external vendors and service providers.
  • Maintain confidential student and staff records, course files, and archives in compliance with institutional and regulatory requirements.

Qualifications and Experience

  • Graduate degree in any discipline; an additional qualification in project management would be an advantage.
  • 3–5 years of experience in administrative or office‑management roles, preferably in higher education, arts institutions, or cultural organisations.
  • Strong organisational and time‑management skills, with the ability to prioritise multiple deadlines and work independently.
  • Excellent written and verbal communication skills in English; proficiency in local languages (e.g., Hindi, Marathi) is a plus.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experience with email marketing, student‑information systems, or database tools is highly valued.
  • Professional, courteous manner with sensitivity to confidentiality and discretion in handling sensitive information.

Preferred Attributes

  • Flexibility to work before and after hours during exhibition installation, attend evening or weekend events when required.
